Dispatcher Part-time

MINIMUM QUALIFICATIONS

  • High school education or equivalent (college degree preferred)
  • 3-year administrative assistant experience
  • 2-years client transportation/dispatch experience.

KNOWLEDGE, SKILLS, ABILITIES

  • Proven computer skills with experience using MS Office
  • Demonstrated excellent customer service and communication skills
  • Knowledge of business writing
  • Knowledge of and skill in telephone etiquette
  • Knowledge of computer programs, various databases and the ability to generate accurate computer reports
  • Ability to operate standard office equipment
  • Ability to follow oral and written instructions
  • Ability to organize information and materials
  • Ability to create complex MS Excel spreadsheets and enter data in spreadsheet and/or database
  • Ability to speak clearly and write legibly
  • Ability to project positive image of agency over the phone

DUTIES AND RESPONSIBILITIES

  • Receive calls and records significant information
  • Address problems and requests by transmitting information or providing solutions
  • Receive and dispatch orders for client pick-ups and drop-offs or product deliveries
  • Prioritize calls according to urgency and importance
  • Use radio, phone or computer to send staff, vehicles or other field units to appropriate locations
  • Monitor the route and status of field units to coordinate and prioritize their schedule and deliver exceptional customer service and maximize organizational efficiency
  • Provide field units with information about orders, traffic, obstacles and requirements
  • Enter data in computer system and maintain logs and records of calls, activities and other information
  • Maintains client confidentiality
  • Coordinates with various departments
  • Notifies supervisor or management of customer service lapses and seeks input when unable to resolve circumstance on their own
  • Gathers forms and processes data as necessary
  • Enters data accurately
  • Displays adequate level of proficiency in data entry skills
  • Is proficient in the use of systems software
  • Uses word processor to type correspondence, memos, form, reports, etc.
  • Assists Transportation Manager, as required, by generating spreadsheets, entering data into software applications, generating reports or files for invoicing, billing, or data collection
  • Answers phone calls, emails, faxes or other communication
  • Creates and maintains files
  • Database data entry
  • Maintains and handles problems with office equipment
  • Faxes, emails and receives documents
  • Prepares correspondence, completes forms, prepares reports
  • Prepares mail-outs, e.g., folding, stuffing, etc.
  • Changes Voice Mail message daily to reflect status
  • Assists other staff as needed
  • Is courteous and friendly to all customers, internal and external

 

Schedule:

Monday-Friday 7:00am-10:00am   Saturday 7:00am-3:00pm
