Minimum Qualifications
- High school education or equivalent (college degree preferred)
- 3-year administrative assistant experience
- High proficiency word processing skills
- Excellent computer skills with experience using MS Office (all components)
- Excellent customer service skills
- Experience interacting with a variety of database structures
Knowledge, Skills, Abilities
- Knowledge of business English, spelling, and punctuation
- Knowledge of telephone etiquette
- Knowledge of computer programs and generation of computer reports
- Ability to operate standard office equipment
- Ability to follow oral and written instructions
- Ability to organize information and materials
- Ability to create complex MS Excel spreadsheets and enter data in spreadsheet and/or database
- Ability to speak clearly and write legibly
- Ability to project positive image of agency over the phone
Duties and Responsibilities
- Gathers and processes data as necessary
- Performs all tasks necessary to ensure proper timely processing of all documents related to recording and billing of services provided regardless of funding source
- Develop and generate reports to summarize and quantify activities, services and clients served
- Assists Community Services and Metro Center Operations as required, by generating spreadsheets for analysis and by entering data and generating reports from a variety of software applications for analysis
- Reconciles data, funding and other factors to maximize services and funding for programs, sub-contractors, or Departments to ensure appropriate billing, compliance and financial or program evaluation
- Conduct Client Assessments as required by program guidelines including Home Delivered Meal Assessments and Transportation Assessments
- Support Program Coordinator with special events and senior service classes
- Produces schedules, timelines, and organizational structure to ensure tasks are completed in a timely accurate manner.
- Trains others as necessary or directed
- Performs all tasks with limited or no supervision
- Coordinates with other staff and community partners to fulfill job responsibilities
- Primary position responsible for monitoring data entry integrity across multiple software platforms, databases and shared electronic resources
- Proposes process changes or other improvement recommendations as needed
- Keeps information current and provides updates to other staff as needed
- Creates and maintains files/charts; electronic and physical
- Prepare documents and materials as required by management
- Displays adequate level of proficiency in data entry skills
- Demonstrate the ability to multi-task by handling multiple projects
- Assists other staff as needed
- Produces Standard Operating Procedures for the tasks
- Uses word processor to type correspondence, memos, form, reports, etc.
- Maintains strict confidentiality regarding information that are a part of job duties and responsibilities
- Process client calls when primary staff member is unavailable
- Handles internal mail

Salary Range: $33,945-$39,923
